Submitting expenses on Rydoo mobile application is very simple and intuitive. It is possible to submit your receipts, mileage expenses, per diems or daily allowances, and manual expenses directly on the application.

Step-by-step explanation

On the mobile app homepage, these 3 buttons can be seen at the bottom of the page:

  • Left Button - Mileage Expenses
  • Center - Capture Receipts
  • Right Button - Manual Expenses and Per Diems (daily allowances)

How to capture Receipts?:

Click on the purple button in the center. The camera will open and if you point it at a receipt, you will see that it'll start framing it. At the bottom of the camera you will see these buttons:

  • The picture-Button on the bottom-left corner: To access phone gallery and upload readily available receipt image.
  • The white-circle Button: To capture image based on your selected option (there are 3 available options), see more details below.

If you want to take a picture of you receipt, you first will have to select the type of picture you want to take based on your needs.

Option 1: SINGLE (default)

For capturing a single receipt

Select this option if you want to submit only one receipt and it is one-page. Point the camera on the receipt and tap the white-circle button. After that, you will have the option to:

  • Add more pages (if you have more than one receipt then we suggest you use the multipage option)
  • Retake
  • Crop and Rotate

Once you are satisfied with the photo, click on Add Expense Detail. You will be asked to fill out fields as required by your company. Click SAVE (check) that can be seen on the upper right corner of the screen to proceed with receipt processing.

All receipts captured via Single scan will automatically go through Rydoo Character Recognition System (OCR) and can be found in the home page of your mobile app.

Option 2: QUICK SCAN

For more than one receipts

Perfect for when you need to expense more than one receipt at the same time. Point the camera on the receipt and tap the white-circle button. Then you will see won't be routed to a different page, but the camera will be ready to take a picture of the next receipt!

All receipts captured via Quick Scan will automatically go through Rydoo Character Recognition System (OCR) and can be found in the home page of your mobile app.

You will still need to fill out expense fields as required by your company after the receipt scan. Click SAVE (check) or SUBMIT (plane) that can be seen on the upper right corner of the screen.

Option 3: MULTIPAGE

For capturing a receipt with multiple pages. Best for hotel receipts.

After capturing the receipt image via Multipage option, you will see the number of pages appear at the bottom right corner of the screen.

After capturing all pages, click the Pages button to proceed to the next step.

You will then see the options to:
-Add more pages
-Retake
-Crop and Rotate
-Arrange
-Delete pages

Click ADD EXPENSE DETAIL button once you're satisfied with the photo, and proceed with the process.

You will be asked to fill out fields as required by your company. Click SAVE (check) that can be seen on the upper right corner of the screen to proceed with receipt processing.

ALWAYS REVIEW ALL EXPENSE DETAILS to ensure accuracy, as there are several factors that can affect character recognition output. 

Once you are done with the review, you can click SAVE (check) or SUBMIT (plane) that can be seen on the upper right corner of the screen.

What if I want to skip the receipt scanning process?

If you do not wish to wait for the system to finish processing or capturing receipt data, you can stop it by clicking the expense while still processing.

You will see the button SKIP PROCESSING if you would like to skip the scan and proceed filling out the expense form manually.

Fill out the all the required information based on your company's policy. All required fields are marked with an asterisk.

Once you are done with the review, you can click SAVE (check) or SUBMIT (plane) that can be seen on the upper right corner of the screen.
