Roles

Permission

Personal

Active users have this role automatically. They can add/edit/submit their expenses. Can access:

  • Dashboard

  • Expenses

  • Transactions

  • Trips

  • Personal Reports

Administrator

By default, the user who creates the company account will have this role. Can access and modify sections on Admin page.

User Management

  • Users

  • Groups

  • Branches

  • Roles

  • Payment methods

Fields

  • Categories

  • Custom fields

Policies

  • Expense rules

  • Reject reasons

Rates

  • Mileage

  • Per diems

Account Settings

  • Subscription

  • Integrations

  • Advanced Settings

NOTE: Multiple Administrators are possible.

Branch Manager

The user assigned to this role can add or modify groups and users. They can also assign roles to other users and access the following:

  • Users

  • Groups

NOTE: Can limit the access per Branch

Approver

The user who approves expenses and can access:

  • Approver expense page

  • Approver reports

NOTE: Can limit the approval access per User, Group, or Project.

Controller

The user who controls expenses. They work as the second-level approval or validation and can access the following:

  • Controller expense page

  • Controller reports

NOTE: Can limit the controller access per User, Group, or Project.

Director

Can view expenses of the assigned users and create standard reports. Can access the following:

  • Dashboard

  • Expenses (Read-Only)

  • Trips

  • Reports

NOTE: Can limit the access per User, Group, or Project.

Finance

The only role who can create Accounting Report. When acting as Finance, it can access the following:

  • Dashboard

  • Expenses

  • Transactions

  • Trips

  • Reports

NOTE: Can limit the access to a specific Branch.

Treasurer

The user assigned to this role can create/modify/delete cash advances.
