Before proceeding, ensure that you have successfully added your custom field details. The steps below apply to the custom field set up as a list only.

There are three ways how to add list items:


To add list items manually

  • Go to Admin > Custom Fields page. Then select the list field you created. Under the List items tab, click + Add item.

  • Add the list item's details and click Add item.

To add list items through excel template

IMPORTANT
You can only add new list items. It is not possible to update existing list items via Excel.
Do not rename, remove or change the order of the columns in the Excel file.

  • Go to Admin > Custom Fields page. Then select import list items.

  • Click the template to download the list items file.

  • Fill in all the required columns or data.

    You can find each field's details and descriptions here.

  • Once done, save the template as an Excel workbook (.xlsx) on your desktop and click + to select the saved file or drag the file to the page to upload.


List Item Fields and Description

Field

Description

Name

For excel template: List item name

Enter the name of the list items. This will be visible to the end-users and will show from the custom field's drop-down menu.

External ID

Enter the code or id of the list item. It needs to be unique for each list item.

NOTES:

  • The custom field value id is not visible to the end-users.

  • This id will be used to allocate the expenses to correct custom fields in other tools.

  • Required data when using excel upload template.

Status

Add a checkmark to set the list item active.

For excel template:

Enter 1 to set the list item to active

Enter 0 to set the list item to inactive

Limit to branch

optional

Add a checkmark and select from the drop-down menu which branch/es should the list items be available to.

Limit to project

optional

Add a checkmark and select from the drop-down menu which project/s should the list items be available to.

Default item

optional

Add a checkmark to set the list item as default. This item will show on the custom field as a default value but end users can still change it.

Custom Field Name

(for excel template only)

Enter the custom field name where you wanted to add the list item.

Branch Name

(for excel template only)

Enter the Branch Name and Branch if you want to limit a list item to one branch.

Branch External ID

(for excel template only)

Enter the Branch ID if you want to limit a list item to one branch
